What we collect

  • Contact details — name, email, phone and company.

  • Billing and account contacts.

  • Marketing and communication preferences.

  • Support enquiries and correspondence.

  • Service Data — personal data processed within our secure cloud environments (GCP and UpCloud) as necessary to provide our integrated AI and data services.

How we protect your data

We maintain a formal security programme built upon industry-standard frameworks.

  • Encryption — all data is encrypted in transit using TLS 1.2 or higher, and at rest using AES-256 encryption.

  • Infrastructure — our services are hosted on Google Cloud Platform (GCP) and UpCloud, using their SOC 2 Type II and ISO 27001 certified data centres.

  • Access control — we enforce the Principle of Least Privilege. Access to production systems is restricted to authorised personnel and protected by multi-factor authentication (MFA).

How we use your data

  • To provide and maintain our services, including the processing of service-related data.

  • To manage contracts and billing.

  • To provide technical support and respond to enquiries.

  • To send updates, invitations and marketing, with consent where required.

  • To meet legal and regulatory obligations.

Legal basis

  • Performance of a contract — to provide the Dashworx platform and services.

  • Legitimate interests — in B2B marketing, service improvement and security monitoring.

  • Consent — where required for specific electronic marketing activities.

  • Legal obligations — to comply with applicable laws.

Sharing your data

We share data only with trusted subprocessors (such as cloud hosting, CRM and email providers) necessary to deliver our services, and with regulators or authorities if required by law. All international transfers are protected by standard contractual clauses or equivalent UK GDPR safeguards.

Retention

  • Account and billing contacts — contract term plus 6 years.

  • Marketing data — until you unsubscribe, or 3 years after your last interaction.

  • Support correspondence — up to 24 months.

  • Service Data — retained only for the duration of the service contract, or as specified in our Data Processing Agreement (DPA).

Your rights

You may request access, correction, deletion, restriction or portability, object to processing, and withdraw consent where applicable. To exercise these rights, please contact dpo@dashworx.co.uk.

Complaints

If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.
